Summary: Allows dispatchers to combine multiple daily timesheets into a single PDF document, email to the Billing Department (Corporate) and eliminate the need to print, sort, and manually scan/email. Intended for use with PDF Split and Merge (PDFsam) ver. 2.2.4. Newer versions may be slightly different.


Note: The steps outlined below are interchangeable with Timesheets or Work Orders.


  1. Open the DISPATCH folder located on the “Z” drive (Z:\[Branch]\DISPATCH)



  2. Open the TIME SHEETS folder > Create a new folder for the current date (if not already done)



  3. Open Microsoft Outlook (if not already) > Go to the “Inbox” of the dedicated Sie Dispatch [#] mailbox


    Note: user must have permissions to access/view this inbox.  If not, please contact IT Support at sie-support@sielift.com requesting access to this shared mailbox

  4. All technician’s timesheets should have already been submitted via email to siedispatch#@sielift.com

  5. Locate the tech’s Timesheet email the inbox…the actual timesheet should be a PDF attachment



  6. Save the PDF attachment to the folder labeled with the specific date (created in Step 2 above)…Repeat this step for each timesheet received for that specific date until all timesheets are listed in the folder

    Note: you can do this using 1 of 2 methods

    *OPTION A: Drag-and-Drop the PDF document in the date folder created in Step 2 above (this is recommended if you have dual-monitors, if not use option “B”)
    *OPTION B: Right-click the PDF document (attached to the email), then Save As to the date folder created in Step 2 above

  7. rename the timesheet using this suggested naming convention:
    <Last Name><First Initial> <Date> (e.g., DoeJ 02-16-16)

  8. All timesheets for each technician should now be listed in the correct dated folder and named correctly



  9. Once you have confirmed all timesheets are accounted for, go to: 
    Start menu > All Programs > PDF Split and Merge Basic



  10. Click Merge/Extract then the Add button



  11. Navigate to  Z:\[BRANCH]\DISPATCH\TIMESHEETS\[DATE]



  12. Highlight all of timesheets listed by holding down Ctrl key while clicking each timesheet

    Tip: Click any name in the list then hold down the Ctrl + A simultaneously to “select all” 



  13. Click Open button…all the files you just selected should now be listed within the PDF Split and Merge app



  14. Once you are confident you have all of the technicians timesheets listed, click the Browse button to name your “merged” file



  15. After clicking the Browse button, you will be prompted to name the new “merged” file that this app will soon create…

    ...name the file: [BRANCH] Timesheets mm-dd-yy then click Open



  16. Simply click the Run button to merge these files into one PDF document



  17. The actual “merging” process is typically pretty fast…you will see a status bar at the bottom of the PDF Split and Merge window that will indicate when the merge process is complete.



  18. When the merge process is complete go back to the folder where your documents are stored (see step#2 above) and open the merged document.  You will now notice that all documents are now displayed as separate pages contained within this one merged PDF document.

    FYI – The recommended PDF reader to use is Foxit.  Sometimes using Adobe Reader does not show all of the pages for some reason.

  19. Go back to Microsoft Outlook, compose a new email message and attach the new PDF file that was created > Email the billers.
